 CCIS Conference Room Reservations


  • Please allow 3-5 business days for confirmation of requests
  • Room usage hours are 8:00 a.m. to 4:30 p.m., Monday through Friday
  • Events involving alcohol must adhere fully to UC San Diego Alcohol Policy (with required approval forms signed/submitted in advance per the policy).

 

Policies and Procedures

  • Reservation requests must be submitted via our request form to ensure all required information is captured.
  • Scheduling for each new quarter opens up on the first day of the quarter prior to the one being scheduled, and no sooner. For example, the Winter 2026 quarter is not available for booking until the first day of the Fall 2025 quarter. This is to keep availability and access to the rooms open and fair.
  • A Project-Task is required at the time the reservation is made, along with contact information for the staff member responsible for the reservation. If you are unsure of this information, please work with your department staff to have them request the space on your behalf. The Project-Task will only be charged if there are violations to the meeting space policies and procedures. This individual is responsible for ensuring all guidelines are followed, and will be contacted directly when there are violations, problems or complaints.
  • Room must be completely reset and cleaned before you leave so that it is ready for the next meeting. Failure to do so will result in a facilities’ charge of $100 plus any expense incurred.  Charges will also result from equipment losses or room damages.
  • Please see the individual conference room availability calendars for the space that you would like to reserve.
  • You must include at least 30 minutes setup and breakdown time to ensure that you do not delay the next meeting. 
  • You are responsible for arranging A/V assistance, if needed.
  • If room equipment is broken, contact ccis@ucsd.edu.
  • Rooms are reserved on a first come, first serve basis.
  • Occasionally, we may need to reschedule a reservation. In the event this occurs, the original requestor will be emailed.
  • You cannot use a room without a reservation. If you are using the room during someone's scheduled time, you will be asked to leave promptly.
  • If your request is approved, arrangements will be made for you to pick up the room key. Failure to return the room key will result in a charge of $100 to replace the lost key and have the lock rekeyed.
  • Violations of the guidelines above may result in loss of future use privileges and/or charges.
